Introduction

A Flow applies a Playbook to a set of documents, enabling structured AI-powered analysis at scale. This article walks you through creating, launching and reviewing a Flow in Jylo.

 

What Is a Flow?

A Flow is a structured analysis process that applies a Playbook to one or more documents within a Project. Whilst the Assistant is designed for conversational, ad-hoc queries, Flows are purpose-built for repeatable, high-volume document analysis.

When you run a Flow, Jylo processes every selected document against the prompts defined in the chosen Playbook and presents the results in a filterable, structured interface.

Example

You have 500 contracts and need to identify which ones contain a break clause. You create a Flow using a Playbook with the prompt “Does this contract include a break clause?”. Jylo analyses all 500 documents and returns a Yes or No response for each, allowing you to filter to only the relevant contracts.

 

Before You Begin

Ensure you have the following in place before creating a Flow:

  • A Project: Flows are created within a Project. If you have not yet set one up, refer to the Quick Start Guide.
  • Uploaded documents: The documents you wish to analyse must be uploaded to your Project’s Files section.
  • A Playbook: You need a Playbook to define the analysis. Browse available Playbooks in the Marketplace or create your own.

Tip

If you are unsure which Playbook to use, open the Marketplace and use the search and filter options to find one suited to your document type and analysis goals.

 

Creating a Flow

Creating a new Flow follows a three-step wizard that guides you through naming, Playbook selection and document selection.

Step 1: Flow Setup

  1. Navigate to the Flows section within your Project.
  2. Click the blue Plus button in the top-right corner.
  3. Select Add Flow from the dropdown menu.

This opens the Create Flow wizard. In the first step, provide:

  • Flow Name: A descriptive title for your Flow (e.g. “Q1 Contract Review”).
  • Flow Description: Optional context about the Flow’s purpose.

Click Next to proceed.

Step 2: Playbook Selection

Choose the Playbook you wish to apply. The wizard displays available Playbooks from the Marketplace as well as any custom Playbooks created within your organisation. Once you have made your selection, click Next to continue.

Note

The Playbook you select determines the prompts that will be applied to each document. Review the Playbook’s prompt structure before proceeding if you are unfamiliar with its contents.

 

Step 3: Document Selection

Select the documents to include in the Flow from your Project’s Files section. You can select individual files or entire folders. When you have chosen all required documents, click Finish to launch the Flow.

Warning

Once a Flow has been launched, the Playbook and document selection cannot be changed. Double-check your selections before clicking Finish.

 

Reviewing Flow Results

Once processing is complete, the Flow interface displays your results across three panels.

Filtering Results

The left panel provides filter controls derived from your Playbook’s prompts:

  • Yes/No prompts: Displayed as checkboxes. Tick a value to show only documents matching that response.
  • List of Values prompts: Displayed as checkboxes with each category listed individually.
  • Numeric prompts: Displayed as range sliders, allowing you to filter documents within a specified range.

Viewing Evidence

For supported prompt types, each response includes an Evidence button. Clicking this highlights the relevant passage in the document view (middle panel), allowing you to verify the AI’s response against the source text.

Best Practice

Use the Evidence feature to verify key responses, particularly for high-stakes analyses. This ensures your conclusions are grounded in the original document text.

 

Adding Comments

Each response includes a comment section where you can add notes, flag queries or record review decisions. Comments are visible to all Team members with access to the Project.

Verifying Responses

Use the verification controls beside each response to mark it as Verified or Rejected. This helps your team track review progress and identify responses that require further attention.

 

Exporting Flow Results

You can export your Flow results for use outside of Jylo:

  1. Open the Flow you wish to export.
  2. Click the Export button in the toolbar.
  3. Select your preferred format from the available options.

For large Flows, Jylo generates the export file in the background and saves it to the Downloads section within your Project’s Files.

Tip

Exporting to Excel preserves filter states and verification statuses, making it straightforward to continue your review offline.

 

Stopping a Flow

If you need to cancel a Flow that is still processing:

  1. Navigate to the Flows section.
  2. Hover over the status badge beside the Flow you wish to stop.
  3. Click the Cancel button that appears.

Warning

Stopping a Flow is irreversible. Any documents that have already been processed will retain their results, but remaining documents will not be analysed.

 

Troubleshooting

IssuePossible CauseResolution
